Job Purpose
Summary
We are seeking a versatile and proactive Administrative Assistant to support our team across multiple departments. The ideal candidate will be the first point of contact at reception, ensuring a welcoming environment for visitors and clients, while also providing essential administrative support in Finance, Human Resources, and Health & Safety. This position reports directly to the Human Resources Department.
Key Responsibilities :
Reception & Office Support
Greet and assist clients, visitors, and employees in a professional and courteous manner.
Manage supplier calls, emails, and correspondence.
Coordinate office supplies, materials, and service orders.
Finance Support
Assist Accounts Payable and Accounts Receivable teams with data entry and follow-ups in the financial system.
Support invoice processing and payment tracking.
Human Resources Support
Assist with HR system tasks in MyDana, including employee data updates.
Support training coordination, onboarding, and employee file management.
Health & Safety Support
Track and update training records to ensure compliance with safety standards.
Provide administrative support to the Health & Safety team, including documentation and reporting.
Qualifications :
Previous experience in administrative or office support roles.
Strong organizational and multitasking skills with attention to detail.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
Excellent communication and interpersonal skills.
Ability to handle confidential information with discretion.
Bilingual French & English ( to communicate with our employees and colleagues in the USA)
